What we process

  • Trip data: name, phone, email, pickup and drop-off addresses, date and time, number of passengers, flight number, special requests.
  • Messages: the emails, SMS and WhatsApp messages we exchange, with their date and the address or number they come from.
  • Billing data: name or company name, address, VAT or tax code, when an invoice is required.
  • Payment data: online payments are handled by our payment provider, SumUp, which receives the card details. We never see or store them.
  • Vehicle location: we track our own vehicles to run the service, never our customers' phones.

Why we process it

  • To perform the service you booked and to reply to you (performance of the contract).
  • To comply with the law, in particular tax and accounting obligations.
  • For the safety of our vehicles and the quality of the service (our legitimate interest).

We do not sell your data and we do not use it for third party advertising.

Who we share it with

Technical providers acting on our behalf: email, SMS and WhatsApp messaging, online payments (SumUp), maps (Google Maps), file storage, vehicle tracking. Transport partners we assign a service to, limited to what they need to carry it out. Public authorities, when the law requires it.

WhatsApp and the other channels

If you write to us on WhatsApp, the message travels through Meta's systems under their terms, and we keep a copy in our management system to reply to you and find your booking. The same applies to emails and SMS.

How long we keep it

  • Tax documents: 10 years, as required by law.
  • Completed services: up to 10 years, to handle claims and disputes.
  • Messages and enquiries with no follow-up: normally 24 months.

Cookies

The site only uses technical cookies, needed to work and to take bookings: language, currency, booking session and your cookie choice. We do not use profiling or advertising cookies.

We collect visit statistics ourselves, without third party tools, only to understand how the site is used.

On the booking page we use Google Maps to suggest addresses and show the route: your browser connects to Google's services, which receive your IP address and the addresses you type. The WhatsApp button opens the chat in the WhatsApp app and sets no cookies on the site.

If we add statistical or third party cookies in the future, we will list them in the cookie banner and they will only be set with your consent.

Your rights

You can ask us for access to your data, correction, erasure, restriction, portability, and you can object to the processing. Write to romagnatransfer@romagnatransfer.com.
